Hired Friday.
Aligned Saturday. Yes, it exists.

Festivals, stadiums, trade shows: your teams show up 72 hours before, and leave once the event is over. Roomee puts the day-of brief, the procedures and the coordination back in one place. On everyone's phone, with read receipts by zone. No more WhatsApp, SMS, email, PDF pile-up.

Everyone broadcasts. Nobody knows if the message lands.

Your managers spend 40 minutes a day on average chasing, repeating, asking again — because they never know who's actually seen it.

Saturday, 6 p.m. Three hundred people, five channels.

The welcome team on SMS. Security on an overloaded radio. The technical crew on a PDF no one opened. A WhatsApp instruction only half-reaches the radio, and never the staff without a phone. An incident takes fifteen minutes to make its way up. And by the end of the night, no trace of who said what.

It's not an organization problem. It's a place problem: the critical instruction lives on personal devices, with no proof it went out and no company record.

At an event, the instruction ricochets between SMS, an overloaded radio and a PDF no one opened.

A whole team. Built in 48 hours, disbanded by Monday.

This is your event day when everything runs on WhatsApp, radio and paper.

  • Five channels. One instruction. And it gets lost.

A text the night before. A printed sheet on arrival. Radio on a shared frequency. Agency messages. The zone-closing order lands late, and the volunteer passes it on wrong.

  • The technical pack? Scattered across twenty files.

A drive, emails, sheets printed on day one. The new staff doesn’t have the right versions, and the 2024 protocol blurs into the 2023 one.

  • Coordinating ten zones. By voice. And hoping.

Something unexpected, a call, a word-of-mouth relay: fifteen minutes and a message already distorted. And the no-show that leaves a zone uncovered.

  • The roles? Redrawn for every edition.

Badges, access, the org chart: everything changes every year. Nobody knows who to escalate to. And the paper list ends up lost.

  • The seasonal docs? Paper, already out of date.

Printed on day one. Left in the locker room. Corrected by hand, with no version control. And the new hire has nothing to reach for.

  • An international team. One brief. One language.

Staff and volunteers who speak several languages. But the critical instruction goes out in French: translated by hand by the agency. Or not at all.

Five channels. Every other instruction gets lost.

Radio for security, WhatsApp for announcements, SMS for the agencies, email for the record: the same instruction on four channels, complete on none.

Roomee. One messaging group per zone (“Welcome,” “Security,” “Technical”) and a Feed targeted by sector. Every message timestamped, kept, with a read receipt: you see who received it, you follow up with the person who’s missing, not the whole site. The next shift picks up the thread on arrival. The security radio stays your real-time channel. Roomee replaces the rest. And keeps the record.

"South gate closed. Use the north entrance from 6 pm."

  • Reception 0/16 read
  • Security 0/9 read
  • Technical 0/12 read

Fifty strangers to get in position in thirty minutes.

An hour before doors open, you brief a workforce you’re meeting for the first time: extras, volunteers, agency reinforcements. The latecomers are still on their way, some haven’t read the PDF, others don’t speak the language. And it all starts from scratch at the next edition.

Roomee. The day-of brief and the job sheet live in the zone’s space: each person gets them by joining their team, on their phone, with no manual sharing. Read receipts show who’s ready before doors open. Noah, the AI built into Roomee, translates the brief into each person’s language (10 languages, on their request). The material carries over from one edition to the next: you update it, you don’t rebuild it.

“Who has the latest version?”, at 6 p.m.

Three versions of the site plan are going around, the run of show is two weeks old, the latest change is a screenshot in a group chat. A staffer is looking for the “lost person” quick-reference sheet: nobody knows which folder it’s in. Too many owners, no one in charge.

Roomee. One Drive per zone (Welcome, Security, Technical) becomes the single source of reference: one reference version, one author, one date, one type. Global search finds the right sheet in seconds. And Noah answers by citing the source document: “Evacuation procedure, step 3: assemble in zone B.” Without making anything up.

Frequently asked questions. Events.

  • Q1. How do you send an instruction to several zones without flooding the channels?

Each zone is a space, with its own Feed and messaging. You publish once; the notification goes to the relevant zone based on its role (Welcome, Security, Technical). You see the read rate by zone, you follow up only with those who are missing. The security radio stays your real-time channel. Roomee replaces WhatsApp, SMS, email, PDF. And keeps the record.

  • Q2. How do you brief a large number of people on the day of an event?

The brief and the job sheet live in the zone’s space. As soon as someone joins their team, they get them on their phone, with no manual sharing, with a read receipt. The material carries over from one event to the next: you update it instead of rebuilding everything.

  • Q3. What if the team is multilingual? Foreign seasonal staff, international volunteers.

Noah, the AI built into Roomee, translates every post and message into the chosen language, among 10 languages. You publish once; the translation is triggered when the person taps, in their language. Inference runs on Claude (Anthropic), separate from your data: your content isn't used to train the model.

  • Q4. What happens to the information when a volunteer leaves before the event ends?

Their access is revoked in one click: they lose the messages and the documents. But everything they received or produced stays with your organization, hosted in Europe (Frankfurt). It doesn’t leave with them — unlike a WhatsApp group on a personal phone.

  • Q5. Does Roomee handle safety compliance (public-venue rules, evacuation, crowd reception)?

No. Roomee stores, distributes and tracks your evacuation procedures, safety instructions and job sheets. And shows you who has read them. Public-venue compliance and responsibility for the public stay yours: you decide the procedure is right, Roomee circulates it, Roomee keeps the proof.

  • Q6. Is pricing per person, or per event?

Per location (the event, the stadium, the agency), never per user. Seasonal staff, extras and volunteers included. Pricing follows team size: the Essential, Pro or Premium tier is set by headcount (up to 30, 60 or 120 team members), with custom plans beyond that; it also depends on the number of locations. We price it to your scope — a quote within 24 to 48 hours. With two or more locations, the Group plan takes 20% off per location depending on its size. Essential comes with no commitment; Pro and Premium on 12-month terms, with 2 months free on annual billing.
